This position provides support and assistance to the Director of Finance, the finance department, the administration department, and all areas of Feeding Tampa Bay. The position is mainly focused on grants.

DUTIES and RESPONSIBILITIES
- Exemplifies the desired culture and philosophies of Feeding Tampa Bay
- Under direction of Controller/Director of Finance, individual will effectively recommend and maintain accounting practices to ensure accurate and reliable data necessary for business operations
- Maintain a system of financial accounting, reporting, and record keeping in accordance to Generally Accepted Accounting Principles (GAAP) and Government Accounting Standards Board (GASB) for all grant and designated funding
GENERAL FINANCE:
- Communicate with staff and outside contacts to provide financial and accounting information and support as needed
- Maintain knowledge of internal control requirements
- Cross train on other Finance functions
- Flexibility to take on new tasks as organizational needs change
- Complies with all company safety, personnel and operational policies and procedures
- Complies with work schedule to ensure effective operations of department
- Contributes positively as a member of a productive and cooperative team
- Ad Hoc reporting for management and other internal users
- Perform other duties as assigned
PAYROLL:
- Implement, maintain and process payroll to ensure timely and accurate processing of payroll transactions including salaries, paid time off and holidays, benefits, garnishments, taxes, and other deductions.
- Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Benefits administration including: updates to payroll deductions to tie to benefits reports/invoicing, enroll team members eligible for HSA accounts, process bi-weekly contributions, and audit benefit enrollment.
- Attends all onboarding sessions in-person to introduce our payroll system and provide information and training materials for new hires and new managers.
- Prepares and maintain accurate records and reports of payroll transactions. Ensure reporting of Form 941.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Facilitates audits by providing records and documentation to auditors.
- Identifies and recommends updates to payroll processing software, systems, and procedures.
- Ensure submission of bi-weekly retirement contributions and 5500 annual filings.
- Provide training materials and assistance to team members in both the timeclock and Payroll portal. Serves as the point of contact for all payroll questions.
- Develop a proactive and positive working relationship with the Culture team to ensure a smooth flow of information related to team members records.
GRANTS:
- Leads and continuously develops the grants fiscal management process to include tracking and reporting on budget vs. actual results on a per grant basis.
- Assists Development, Programs and Operations teams leadership with pre-award budget development and performs post-award budget revision reporting for grants
- Responsible for budgetary control and post award compliance with federal, state, local, and funder regulations
- Responsible for the invoicing and reconciliation processes related to drawdowns from funding agencies
- Responsible for the monitoring of grant activity including cost overruns, cost sharing and unallowable administrative expenses
- Reconciles and prepares monthly and quarterly financial grant reports in accordance with generally accepted accounting procedures
- Prepares and maintains reimbursement expenditure reports for grants and reconciles monthly grant reports to funds received
- Maintains monthly performance and accountability for current and pending federal, state, local, foundation, and private grants
- Attends monthly review meetings with the Finance and Development Teams
- Assists with Grant Monitoring and Grant Audits

EDUCATION and/or EXPERIENCE
- Excel working in a fast-paced, evolving environment and demonstrate the ability to embrace the FTB's commitment to treat all people with equity and respect in pursuit of our mission to feed people in need and mobilize our community to eliminate hunger
- Bachelor's degree or higher in Accounting, or Finance or Business; - or -
- 5 years recent related experience in an accounting or grants management role plus a Bachelor's degree or higher in any major
- Commitment to understanding and supporting FTB's mission
- Ability to safeguard and maintain confidentiality of personnel information
- Exercise good judgment and discretion; strong ethical character capable of handling confidential financial information
- May be required to adjust work schedule to meet deadlines
- Remote work may be considered, but must be able to accommodate office hours on a regular basis
- Experience using Google Suite or comparable application suite and accounting applications
- Excellent written, oral, and interpersonal communication skills
- Ability to understand and organize detailed information, strategize best use of funding, and possess a high level of attention to detail with the ability to solve problems and show initiative
- Ability to handle multiple projects while adhering to deadlines
- Adherence to FTB policies and procedures
- Work closely with management to keep projects and tasks moving forward
- Willing to actively participate in mission-driven programs, such as food distribution initiatives and disaster relief operations as needed.
- All internal candidates must be in good standing with no corrective actions within the last 90 days.
