Responsibilities

Responsible for academic advising and retention of undergraduate students in Department of Modern Languages and Linguistics. Assists students with outlining course sequences, declaring majors/minors, and maintaining progress toward graduation. Monitors students academic progress from entry into major through graduation. Completes progress checks and graduation clearances. Serves as liaison between students, academic programs, and campus departments/resources. Maintains and tracks student academic records, including coursework, grades, and selected academic pathways. Determines student eligibility for course enrollment while ensuring compliance with departmental and university policies. Processes drop/add, mapping, probation/dismissals, graduate checks and approval, etc. Coordinates with language coordinators/advisors to confirm course equivalencies/degree applicability and updates student records and global transfer catalog with Division of Undergraduate Studies. Keeps abreast of all applicable admission and register policies and procedures for compliance. Maintains confidentiality of student records and information. Serves as backup for course schedule building. Serves as liaison to Admissions, Undergraduate Studies, the College of Arts & Sciences Dean's Office, etc. for all undergraduate matters.

Serves as the university contact/resource on the foreign language requirement (Bachelor of Arts, College of Arts and Sciences, etc.). Advises students on foreign language course placement/sequencing, placement exam options, and language waivers. Maintains documentation and training materials for advisors across campus regarding the foreign language requirement, placement, and waivers. Works with the Associate Chair of Undergraduate Studies in facilitating solutions for waivers of the requirement in languages for which and exemption test is not offered within Florida State University. Enters language proficiency waivers for all College of Arts and Science majors. Liaises with the relevant basic language coordinator to confirm appropriate course equivalencies for transient foreign language request, and coordinates with the Division of Undergraduate Studies to update the global transfer catalog as needed to ensure courses transfer in appropriately once completed. Guides students participating in the study abroad and global exchange programs.

Responsible for coordinating and conducting orientation sessions for new and prospective students. Represents the department at recruitment and informational events. Encourages early entry into language courses. Assists with planning and promoting departmental events for students. Plans and implements the Department of Modern Languages and Linguistics' yearly Honors Celebration including room reservations, food reservations, and notifications to nominated students and departmental faculty/staff. Coordinates career workshops with the Career Center Liaison to increase student understanding of the advantages of a language degree and provide students with resources for future success. Represents the department on the Career Center's Internship Council.

Conducts exit survey for graduating seniors, tabulates results, and shares with the Associate Chair of Undergraduate Studies and Department Chair. Works with the Associate Chair of Undergraduate Studies and Department Chair to recommend, establish, and revise polices and procedures for the effective operation of the Undergraduate Advising Office. Makes recommendations and collaborates with the Associate Chair of the Undergraduate Studies on curricular and program planning and goals. Supports Associate Chair of Undergraduate Studies in communicating with program coordinators. Participating in other duties, such as academic event planning and organization, and any additional responsibilities needed by the department.

Develops informational reference materials and website resources relating to undergraduate programs and foreign language requirement and related policies. Attends advising meetings at departmental, college, and university levels, and updates resources in accordance with changes in policy. Provides data for, as well as develops and maintains, reports. Assists with updating the Undergraduate Bulletin, the Academic Program Guide and related departmental resources in conjunction with the program coordinators and Associate Chair of Undergraduate Studies, to ensure program degree information is accurate.

Responsible for monitoring course syllabi status and communicating reminders for compliance in accordance with university and state guidelines. Works with instructors to ensure textbook compliance each term in accordance with university and state gridlines. Works with graduate coordinator to monitor grade submission compliance at the end of each term and notifies instructors of deadlines, as needed. Serves as the contact point Modern Language course evaluations.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications
  • Knowledge of University admissions policies and graduation requirements for the College of Arts & Sciences.
  • Knowledge of principles and practices of academic program planning, development, and evaluation.
  • Knowledge of academic resources available to students
  • Ability to communicate effectively verbally and in writing.
  • Experience establishing and maintaining effective working relationships and coordinating with multiple stakeholders.
  • Experience meeting project deadlines, performing accurately in detail-oriented environment, and prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Ability to utilize problem solving skills.
  • Knowledge of applicable computer applications and basic computer functions to include experience with Microsoft Word, Excel, PowerPoint, Outlook, etc. or comparable software.
  • Ability to interpret and apply related federal, state, and local laws, ordinances, rules, and regulations.
  • Ability to interpret and apply related University policies, procedures, principles, and practices.

Anticipated Salary Range

The anticipated starting salary for the position is in the mid $40,000's.
