Job Description:

The Administrative Assistant will provide a broad range of administrative and office support to team members and leadership. This individual will help coordinate schedules, manage communications, prepare business materials, maintain records, and assist with various operational needs. The ideal candidate is dependable, detail-oriented, and comfortable balancing multiple responsibilities in a fast-paced professional setting.

Key Responsibilities:
  • Provide ongoing administrative and organizational support to team members and leadership.
  • Coordinate calendars, appointments, meetings, and scheduling requests.
  • Manage incoming calls, emails, and general correspondence, directing requests to the appropriate individuals.
  • Create, edit, proofread, and organize reports, presentations, correspondence, and other business documents.
  • Maintain accurate electronic and physical records while appropriately handling confidential information.
  • Coordinate meeting logistics, conference rooms, and other office activities.
  • Assist with data entry, expense documentation, invoices, and general administrative processing.
  • Monitor office supply levels and coordinate orders or vendor requests when necessary.
  • Arrange business travel and assist with related scheduling and logistics as needed.
  • Welcome visitors and provide a professional and positive first impression.
  • Communicate with internal departments, clients, vendors, and external business partners.
  • Monitor important dates, deadlines, and outstanding action items to help keep projects on schedule.
  • Balance multiple assignments while maintaining accuracy and timely follow-through.
  • Assist with special projects and additional administrative responsibilities as needed.

Qualifications:
  • At least one year of administrative, office support, or related professional experience preferred.
  • Proficiency with Microsoft Office Suite, particularly Outlook, Word, and Excel.
  • Strong written and verbal communication abilities.
  • Excellent organizational and time-management skills.
  • Ability to prioritize multiple assignments and meet established deadlines.
  • Strong attention to detail with a commitment to producing accurate work.
  • Professional communication style and interpersonal skills.
  • Ability to appropriately handle sensitive and confidential information.
  • Strong problem-solving skills with consistent follow-through.
  • Reliable, proactive, and comfortable contributing within a team environment.
