Responsibilities

The Donor Relations Coordinator advances a culture of gratitude and connection by helping design, create and deliver meaningful donor experiences. Through stewardship, recognition, impact reporting and engagement initiatives, this position ensures donors are appropriately thanked, informed and celebrated while supporting the successful execution of strategic donor relations programs, special projects and university-wide initiatives.

Coordinate Monthly Stewardship Programs
  • Coordinate recurring stewardship activities that strengthen donors' connections to Florida State University and ensure they are recognized, informed, and celebrated throughout the year.
  • Support the administration of Forever FSU, the university's consecutive giving recognition program, including milestone recognition, donor communications, data validation and stewardship mailings for donors reaching significant giving anniversaries.
  • Manage a monthly birthday recognition process for major donors, ensuring timely and personalized outreach.
  • Prepare and distribute donor recognition society welcome packets and related stewardship materials.
  • Assist in the development, implementation and ongoing management of new stewardship processes and donor engagement initiatives as needed.
Special Projects and Donor Engagement Initiatives
  • Support the execution of strategic donor relations projects and programs that enhance the donor experience and strengthen engagement.
  • Manage the Donor Gift Suite by coordinating requests, fulfilling orders, packaging gifts and ensuring a positive experience for internal partners and donors.
  • Coordinate the selection, procurement, inventory management and distribution of donor recognition materials and gifts while maintaining departmental standards, procedures and best practices.
  • Coordinate the division's holiday card process, partnering with Advancement Communications and other stakeholders to support design, production, distribution and deployment strategies.
  • Serve as the primary administrator for the ThankView platform, providing guidance on best practices, supporting user requests and identifying strategic opportunities for donor outreach and engagement.
  • Coordinate special donor touchpoints, including stewardship videos, milestone communications, recognition campaigns and other donor-centered initiatives.
Impact Reporting
  • Support the development and delivery of meaningful donor impact reports that demonstrate the value and outcomes of philanthropic support.
  • Research, gather, organize and compile information from university partners, colleges, schools and units to support customized stewardship communications and donor reporting.
  • Collaborate with Development Officers and Advancement colleagues to coordinate timelines, collect content and ensure high-quality reporting is delivered on schedule.
  • Assist with information gathering, data compilation and project coordination for principal gift annual reports and other strategic stewardship initiatives.
Assessment, Planning, and Project Coordination
  • Coordinate project timelines, manage deliverables and collaborate with internal partners to support the successful execution of donor relations initiatives.
  • Partner with Advancement Communications and other stakeholders to coordinate content development, design, production and delivery of donor-facing initiatives.
  • Assist in evaluating donor relations activities by tracking participation, engagement and stewardship outcomes to support continuous improvement and inform future strategies.
  • Identify opportunities to enhance donor recognition, stewardship and engagement efforts through innovation, efficiency and donor relations best practices.
  • Support planning efforts for donor recognition events, campus visits, hospitality experiences, gift agreement signings and other donor-centered activities as assigned.
Administrative Support and Department Operations
  • Respond to donor and leadership requests by researching needs, coordinating solutions and facilitating exceptional donor service.
  • Serve as a primary point of contact for the Donor Relations team, assisting donors by phone and email, responding to inquiries and connecting constituents with appropriate resources.
  • Manage the department's shared inbox and ensure timely, professional responses to donor questions, comments and requests.
  • Maintain accurate donor and stewardship records within university systems and document departmental processes, procedures and best practices.
  • Pursue professional development opportunities related to donor relations, stewardship, constituent engagement and advancement technologies to support continuous growth and innovation.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)
