Apalachee Center is seeking a dependable, organized, and professional HR Assistant to provide administrative and clerical support to the Human Resources Department.

The HR Assistant serves as a primary point of contact for applicants, employees, visitors, and callers to Human Resources. This position assists with employment applications, pre-employment paperwork, background screening, filing, recordkeeping, onboarding support, and other day-to-day HR functions.

The ideal candidate will possess excellent customer service and communication skills, strong attention to detail, and the ability to handle confidential information professionally.
Essential Duties & Responsibilities
  • Serve as a primary receptionist for the Human Resources Department by greeting and assisting visitors, applicants, and employees.
  • Answer incoming telephone calls, take messages, provide general information, and appropriately route calls.
  • Assist applicants with questions regarding the application process, available positions, and application status.
  • Review online employment applications for completeness and minimum qualifications and forward qualified applications to the HR Generalist for further review.
  • Assist with pre-employment drug screening and background screening processes.
  • Schedule fingerprinting appointments and assist with tracking fingerprinting and drug screening results.
  • Assist with required background screenings and maintain appropriate documentation and tracking records.
  • Review pre-employment and background screening forms for completeness.
  • Prepare and distribute pre-hire and onboarding paperwork to prospective employees.
  • Maintain accurate and organized personnel and Human Resources files.
  • Assist with reports, including required employee re-screening and background-check documentation.
  • Complete supply requisitions and work orders for the Human Resources Department and maintain appropriate office supplies and forms.
  • Provide clerical and administrative support to Human Resources staff as needed.
  • Assist with maintaining an organized and professional HR reception, application, and filing area.
  • Assist the HR Generalist with community job fairs and recruitment events.
  • Assist with special projects and other Human Resources activities as assigned by the Director of Human Resources, Chief Human Resources Officer, or designee.
  • Perform other duties as assigned.

Education
  • High school diploma or equivalent required.
Licensure
  • Must possess a valid Florida driver's license and maintain authorization as an approved Center vehicle driver.

  • Ability to work independently while also functioning effectively as part of the Human Resources team.
